What we collect
When you ask for demo credentials, we collect what you enter in the form: your name, work email, phone number, company, team size and anything you write in the message field.
When you browse the site, we collect standard usage data — pages viewed, approximate location, device and browser type, and referring site — through Google Analytics.
Our servers also keep routine logs, which include IP addresses, as part of running and securing the service.
Why we collect it
To set up your demo organisation and send you the credentials, to answer your questions, and to keep a record of our conversation with you.
Usage data tells us which parts of the site people find useful, so we can improve them. We do not sell your information, and we do not pass it to anyone for their own marketing.
Cookies and analytics
This site uses Google Analytics and Google Tag Manager, which set cookies to measure how the site is used. These recognise returning visitors and group traffic by source; they do not tell us who you are.
Our enquiry form is protected by Cloudflare Turnstile, which checks that submissions come from a person rather than a bot.
You can block or clear cookies in your browser at any time. The site works without them.
Where your data lives
Everything your company enters into WorkXpace is held on WorkXpace servers, which we operate and maintain.
Your data belongs to your company. We process it for one purpose — running the service for you. We do not sell it, we do not share it with other customers, and we do not use it to train anything.
Taking your data with you
If you decide to stop using WorkXpace, we will provide an export of your data as CSV files covering the records your company has entered.
Ask us and we will prepare it. You do not need to give a reason.
How long we keep it
Enquiry details are kept while we are in conversation with you, and for a reasonable period afterwards in case you come back to us.
Customer data inside the platform is kept for as long as your company uses WorkXpace, and for a short period after an account closes so that it can be reinstated or exported. After that it is deleted.
You can ask us to delete your details at any point and we will do so, unless we are required to keep something by law.
Demo organisations
Demo organisations contain sample data, not real records, and are removed once the access period ends. Please do not enter real employee, customer or financial information into one.
Keeping it secure
Access to customer data is limited to the people who need it to run the service and support you. We use encrypted connections throughout and review access regularly.
No system is perfectly secure. If a breach ever affected your data, we would tell you rather than wait to be asked.
Your choices
Write to us to see what we hold about you, correct it, have it exported, or have it deleted. We will respond within a reasonable time and will not ask you to justify the request.
If you would rather we stopped contacting you altogether, say so once and that is the end of it.
Changes to this policy
We will update this page as the product and the law develop. The date above shows when it last changed. Where a change materially affects existing customers, we will tell them directly.
